Title: Operations Assistant

Reports to: Executive Director

Category:Full-Time, 40 hrs/wk

The Operations Assistant is:

  • A self-starter with a positive attitude, who functions well in a fast-paced, team-oriented environment and sets weekly short and long-term priorities
    Essential Functions:
  • Administrative office duty and working onsite is required
  • Delegate responsibilities and follow up with interns
  • Coordinate communications between ARCK partner schools, teaching artists, board members, and interns- including taking calls, responding to emails, and assisting with the Executive Director’s correspondence
  • Prepare internal and external organizational documents for team members and donors
  • Schedule meetings, appointments and manage calendar
  • Maintain an organized filing system for both paper and electronic documents
  • Be responsible for the input of data in Salesforce with light bookkeeping
  • Assist with ARCK’s annual gala, and oversee timeline and follow up on logistics like communication with guests, vendors and volunteers, being sure to provide the highest level of service and attention to detail throughout
  • Support the Executive Director on stewardship and sponsorship plans to strategically develop and execute fundraising and staff and supporter appreciation events 
  • With guidance from the Executive Director, communicate with donors, sponsors, and other supporters to convey ARCK’s mission and impact via avenues such as email newsletters, annual reports, corporate sponsorship brochures, and other marketing materials
  • Research funding opportunities, develop budgets, and help write, manage, and submit grants
  • Assist with coordinating payroll and various recruitment efforts including interviewing, scheduling, following up, and updating postings on job search websites
  • Assist with purchasing materials for both schools and office and organize office supplies

  • Qualifications:
    Qualifications and Requirements:
  • Minimum of three years experience as an Operation Assistant reporting directly to senior management (REQUIRED)
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software, Google Drive and Trello
  • Proficiency in collaboration and delegation of duties
  • Strong written and verbal communication skills and a self-starter
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Develop and sustain a level of professionalism among staff and clientele
  • Uphold a strict level of confidentiality
  • Exceptional interpersonal skills and passion for arts education
