Theatre Services Associate - Group Sales/Functions, Boch Center

Description:

The Theatre Services Associate – Group Sales/Functions, a dual position reporting to the Group Sales Manager and the Function Sales Manager, will support the operations of the Group Sales and Function Sales Department and assist in the fulfillment of their respective responsibilities.


Essential Job Duties: 
Provide customer service to group clients via phone, email and in-person
Respond to Sales inquiries in a timely, courteous and professional manner
Assist with processing of group ticket sales including payment/release of unpaid accounts, seat locations, contract and other paperwork for the client, Box Office, Front of House, and other constituencies as needed
Assist in maintaining the group database.
Represent Boch Center group sales department at networking events, conferences, and meetings as needed
Compile and provide appropriate mailing lists for show mailings
Assist in the creation and distribution of group collateral materials.
Follow-up on unpaid accounts
Mail tickets with appropriate promotional materials to group clients in a timely fashion
Work events and performances, greeting and assisting group clients
Assist in coordination and management of logistical aspects of both internal and external Functions, including vendor services, catering requests, room set-up, audio, lighting and audiovisual needs, event staffing and final billing.
Maintain accurate records of the financial aspects of Functions including check requests, invoices, reporting and preparing settlements.
Assist in planning, coordination and execution of a variety of Functions that require interdepartmental collaboration.
Maintain Loge Club calendar and oversee distribution of all Loge Club materials
Assist Function Sales Manager in promoting sales
Schedule and maintain the calendar for Function Sales Special Event Managers.
Conduct site visits and communicate with Function clients and vendors
Maintain up to date inventory lists, including dry goods and liquor stock, vendor lists and logs
Assist with on-site management of Functions
Provide occasional back-up assistance to the Production Manager with Parking Meter Permitting with the City of Boston.
Perform all other duties customarily performed by a Theatre Services Associate, or as directed by the Employer.

Qualifications:

Ability to handle heavy call/customer contact volume

Ability to work well within the Boch Center’s team environment

Excellent interpersonal and communication skills, written and verbal, in order to work with customers, artist management representatives, vendors and clients

Extraordinary organizational skills

Experience working independently in high energy and fast-paced environment

Prior group sales or ticketing experience

Proficiency in Microsoft Word, Excel, Outlook, and working knowledge of PowerPoint, ticketing systems and other related software packages
