Gallery Assistant / Shipping Manager

Rare Book, Manuscript and Art Dealership based in South End seeks a gallery assistant / shipping manager beginning August 26th or early September. The primary employer will be Schubertiade Music & Arts, one of the leading rare book and manuscript dealerships in the United States, open since 2006. Some duties will also involve the co-located Kabinett Art Gallery, dealing in contemporary and secondary market artworks, primarily by appointment and through art fairs.

Duties will include handling of billing and shipping logistics (preparing artworks/books/manuscripts for shipping or storage), basic clerical gallery procedures, maintaining inventory records and management systems, office organization/filing, assistance with social media (periodic postings to the gallery Instagram), and occasional research, development, and implementation of gallery projects.

The office is open generally Monday–Friday, 12–5 pm, and from Wednesday to Friday the assistant will work side by side with the other associate who focuses primarily on the cataloging of inventory. Generally the assistant should plan to work approx. 25 hours weekly, but because this is not an "open shop" the hours and days are somewhat flexible with appropriate notice. Very occasionally - usually in the case of a particular fair or event - a weekend day or two may be requested as well. Most mail is generally received and some of the inventory is presently stored in Newton, approx. 20 minutes from the South End office location. Assistant will generally be required to collect and process newly received or sold inventory from those locations 1-2 times/week and access to a car or van will be helpful, though not required as we have one available for use in Newton for this purpose.

Seeking an engaged "people person" who is comfortable working in an office with another person but who is also a strong solo worker, as much of this work is solitary in nature. This is a very flexible job, so the candidate should be comfortable with doing different things day to day and responding to shifts in priorities as the business demands. Good organizational, writing and research skills, ease learning new programs (for our inventory management system in particular). Ability to move heavy boxes, sometimes 30 lbs. Preference given to recent graduates with degree in music, art history, arts administration or fine arts.

  • Bachelor's degree
  • Ability to work well both in a team and alone
  • Interest in and knowledge of classical music, jazz, and/or visual arts
  • Appreciation for rare books, art, and autographs
  • Flexibility to perform different tasks day-to-day and respond to shifts in priorities
  • Strong organizational, writing, and research skills
  • Excellent computer skills and ease learning new programs
  • Ability to move heavy boxes, sometimes 30 lbs
  • Valid driver's license
  • Degree in the arts or humanities
  • Access to a car
