Position Description:Our 2018 Strategic Business Plan outlines a plan to double philanthropic revenue by 2023, primarily through the expansion of individual giving. To meet this ambitious goal, the Development Department is in an exciting growth phase that includes the addition of new staff positions. Every member of our team will be critical to our fundraising success, which will enable the organization to expand programs, deepened community partnerships, and undertake major capital improvements. We are currently seeking someone with meticulous attention to detail who is passionate about the management of data and finds satisfaction in the smooth coordination of development operations.
Reporting to the Director of Development, the Database Coordinator will work closely with the Executive Director and Development Operations & Annual Giving Manager to build and maintain the data on which all fundraising efforts of the Conservancy run. The Database Coordinator will ensure donor data integrity and organization; create reports that help guide department strategy, workflow, and evaluation; and ensure consistency of financial records with colleagues in Finance and Administration. This position offers an excellent opportunity to increase technical skills with SalesForce, a Customer Relationship Management (CRM) system that is widely used among for-profit and non-profit companies, andadvance a career in development operations.
Execute and maintain all areas of donor record keeping, including gift processing, acknowledgments, pledge agreements, contact information, and notes.
Create and maintain profiles, department workflows, reports, and dashboards through Salesforce.
Implement operational policies and best practices for the Conservancy as guided by and in coordination with the Development Operations & Annual Fund Manager.
Maintain Salesforce handbook defining policies and best practices, with the aim of standardizing and increasing usership across departments.
Donor Relations (35%)
Manage gift acknowledgement workflow to ensure that all donors are thanked promptly for their gifts. Assign thank you phone calls and proofread, mail merge, and print gift acknowledgements, as well as other donor correspondence.
Generate and manage all mailing lists, and coordinate with the printer and mailhouse to produce printed mailings including appeals, event invitations, and holiday cards.
Prepare weekly and monthly reports on revenues and receivables, reconciling monthly with the Finance and Administration Department. Create additional fundraising reports as needed, including for meetings of the Board of Directors and Development Committee.
Record and track event sponsorships, recognition, and revenue.
Track invoices and manage supplies for the department.
Executive Support (15%)
Support the Executive Director in corporate fundraising by researching potential corporate donors, recording and monitoring cultivation and stewardship plans in Salesforce, producing reports in Salesforce, and participating in regular portfolio reviews.
Handle complex scheduling for Executive Director and Development team.
Draft updates for Board of Directors with content from Executive Director.
Prepare and distribute Board of Directors meeting materials.
Prepare materials and take minutes for Development Committee meetings.
The Database Coordinator will have the opportunity to participate in activities that increase their understanding of the Conservancy’s work, such as semi-annual all-staff park clean-up events, field trips to peer organizations, brown bag lunch-and-learns, and monthly staff meetings.
