Scenery Assistant and Purchaser

Description:

TheScenery Assistant and Purchasermanages and executes stock and special purchasing for the scenery department and maintains databases to track purchases and project costs. This position works with and assists Technical Directors on administrative tasks and scheduling, as assigned. This individual specializing in over hire and staff scheduling, safety, communication, office paperwork, and forms and policies.

Essential Position Requirements – Purchaser

  • Oversees stock and maintains adequate levels of materials and consumables for anticipated projects, working in conjunction with foreman and ATD’s.
  • Keeps all associated paperwork updated and current with accounting and scenery.
  • Purchases goods as requested for other departments as requested.
  • Processes and files credit card bills for the scenery department.
  • Handles petty cash acquisition and reconciliation
  • Maintains business relationships with multiple vendors
  • Specialty ordering, as requested by TD or ATD’s
  • Assists with tracking invoicing and payments for outside work.
  • Assist foreman with tool repair and maintenance especially purchasing parts and replacements
  • Schedules and orders rental vehicles and equipment.

Essential Position Requirements - Assistant

· Assists TD:

o with staff calendars, vacation requests, time sheet tabulating and filling.

o with over-hire scheduling, hiring, card access, and related paperwork

o drafting of policies and protocols and assist in their implementation and maintenance

· Safety:

o Help develop safety protocols, implementation, and manuals

o Maintains Safety data sheets

o Coordinates Hazard communication and hazardous waste removal.

o Helps develop safety training schedules and plans

o Maintains stock of PPE appropriate for materials and jobs in house

· Project management: (occurs occasionally for smaller projects, inform TD of project interest)

    • Execute layout and technical drawings for various project elements

o Run installs or strikes

o Lead projects from development to deployment

· Coordinates scenery rentals and maintains an inventory of rentable equipment.

  • Coordinates shipping for small items

· Takes and distributes notes for production center meetings.

· Occasional maintenance of facility and facility equipment pertinent to scenery operations, including Production Center and theatre spaces.

· Other tasks as assigned by the TD and ATDs.

· With TD approval other tasks as asked by shop foreman, lead scenic artist, props master, carpenters, or production management.


Qualifications:

Required:

  • B.A. or equivalent in Technical Production or three years equivalent work experience in a professional scene shop.

· Ability to manage time and multiple deadline-oriented assignments and projects.

· Ability to work effectively both individually, and as a strong team member

· Must be able to read blueprints and technical drawings.

  • Meticulous attention to detail.
  • Experience driving cargo van and 26’ box truck

Preferred:

· Excellent organizational and information-gathering skills.

· A working knowledge of AutoCAD; Microsoft Project
