Administrative Assistant I - Office of Admissions
Serves as administrative assistant for the Office of Admissions, attending to organizational and data entry tasks related to the processing and evaluation of admission applications. Reports to the Associate Director of Enrollment Technology.
Manages the international applicant population through regular communication regarding application and visa process; collects and verifies all documents related to, and issues, I-20 visa for matriculating International students.
Applicant file maintenance throughout the admissions funnel (from inquiry to student).
These tasks include, but are not limited to, computerized applicant and credential tracking, digital communication campaigns, sending emails and making phone calls, processing of digital portfolios, standardized test scores, digital application materials, etc.
Data entry, data importing and data management received from prospective applicants and institutions requesting information about the college.
Tracking and verifying that received documents are official and meet application requirements.
Prepares complete applicant files for review by the admissions committee and/or faculty members; prepares final applicant files for Registrar.
Assists with the computerized processing of College decision letters.
Assists with updating the BHE/GPA database.
Generates name and address labels and coordinates lists for mailings and Admissions events.
Participates in on–campus events and Boston Portfolio Day, some of these occurring during evenings, weekends or holidays. Ability to work during these times is required.
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
The College also seeks:
*Ability to work evening and weekend events on needed basis.
Competency with Technolutions Slate or other Customer Relationship Management (CRM) system
Competency with Ellucian Colleague or other student information system
Experience with Microsoft Office Suite
