Administrative & Data Management Assistant

Description:

Old North Church & Historic Site is currently seeking an enthusiastic and professional part-time Administrative & Data Management Assistant for a 16- hour per week position. The person in this position will report to the Executive Director and Marketing Manager and perform administrative communications and data management tasks focused on the organization’s General Administration, Development and Marketing needs. Regular duties include the following:

General Administration

  • Answering and directing phone calls;
  • Keeping staff and board contact lists up to date;
  • With Executive Director, preparing monthly staff meeting agendas;
  • Preparing quarterly board meeting materials and taking minutes;

Development

  • Helping to execute development mailings;
  • Processing incoming donations according to organizational protocol
  • Entering gifts into DonorPerfect CRM,
  • Processing Gift Acknowledgement letters and filing processed gifts;

Marketing

  • Managing & monitoring Old North profiles on Google My Business & Trip Advisor and updating business hours and profile information as needed;
  • Entering data from Old North guest welcome cards into Google spreadsheet and email marketing mailing lists

Other administrative and data management duties as needed.


Qualifications:
  • 1+ years experience in a professional office environment
  • Working knowledge of Mac Computers, Google Suite, Microsoft Office
  • Comfort interfacing with the public and answering phones
  • Excellent attention to detail and an ability to maintain processes and organizational systems
  • Hands-on experience creating and managing print mail projects
  • A demonstrated ability and willingness to learn and apply learning toward professional growth
  • Ability to work independently, as well as collaboratively to accomplish tasks
  • Experience in museums, tourism, or historic preservation sectors a plus
  • Strong preference for candidates with hands-on experience with DonorPerfect CRM system
