Health Center Office Assistant

Description:
Walnut Hill School for the Arts seeks an experienced administrative professional to join the Health Services team. Serving as the welcoming face for the Walnut Hill School for the Arts Health Center, this role will provide customer-service driven and efficient clerical and administrative support to the Health Services department. This work includes managing multiple tasks simultaneously while staying positive and solutions-oriented. This is a part-time (20 hours per week) position during the academic year reporting to the Director of Health Services.

Health Center Duties

  • Greet students and visitors and provide excellent customer service to all constituents; answer calls from parents and providers;
  • Schedule and coordinate student appointments and travel arrangements; work collaboratively with transportation/facilities staff;
  • Provide general administrative and clerical support to the department, including scanning, faxing, copying, and filing;
  • Maintain electronic filing system; perform data entry and scan documents; create and maintain organizational systems;
  • Receive, open, sort, and distribute incoming correspondence and mail;
  • Manage health center calendar;
  • Assist in administrative problem solving;
  • Organize annual tasks, including but not limited to, physicals, immunizations, summer program registration, school registration, and other tasks relevant to various points in the year;
  • Work collaboratively with the business office regarding billing students for services and medications;
  • Maintain and order supplies for the department;
  • Drive/chaperone students to appointments as necessary;
  • Input daily Health Center attendance each morning;
  • Work collaboratively with the team and colleagues in all departments; communicate in a positive and constructive manner; and
  • Other duties as assigned by Director of Health Services or designee.
Qualifications:

Qualifications

  • 1 -3 years of administrative experience in an academic or medical office preferred;
  • Knowledge of insurance and school health a plus;
  • Strong customer service and interpersonal skills; ability to communicate well with a wide range of people including students, parents, faculty, staff, and providers;
  • Ability to be flexible and demonstrate sound work ethics; commitment to maintain confidentiality;
  • Excellent written and oral communication skills and effective organizational skills;
  • Ability to work independently and effectively in a fast-paced, multifaceted facility;
  • Strong computer skills and ability to work in Word, Excel, Google, and various student and school databases;
  • Ability to adapt to changes in policy, procedures, and react to situations in a calm and confident manner.
